Smartwaivers: Managing Your Waivers and Preparing Check-In

See Waiver Status

Track who has signed, chase down missing waivers, and fix problems at the support desk, all from your event's Manage pages.

Where What you'll see
Manage Attendees A column for each waiver, named Per [Attendee/Group/Order] – [Waiver Name], showing Complete or Incomplete. You can filter by it.
Attendee rows A waiver badge that opens Manage Waivers
Order details A waiver row with its status
Group rows A waiver icon next to the ticket icon

Manage Waivers

Click any waiver badge or icon to open Manage Waivers. From here you can:

  • See each waiver and its status
  • Download a signed waiver as a PDF
  • Remove a waiver connection
  • Attach a waiver the person signed before
Note: You can't sign a waiver for someone else. Attendees sign their own waivers.

Attach a previously signed waiver

This is handy at the support desk when an attendee says, "I already signed one!"

  1. Open Manage Waivers for the attendee, order, or group.
  2. Choose Attach on the incomplete waiver.
  3. Search your Smartwaiver account. Results show when each waiver was signed and when it expires.
  4. Pick the right one and attach it. The status updates right away.
Heads up: You can't attach a waiver that expires before your event ends, or one that's already connected to someone else at this event.

Remove a waiver connection

Removing a connection only changes the status in Brushfire. Nothing is deleted in Smartwaiver. If the waiver is required, the person will need to sign again or have a waiver attached.

Reports

Go to Manage → Reports. Brushfire creates two reports for every waiver on your event:

  • Complete – everyone who has signed, with expiration dates
  • Incomplete – everyone who still needs to sign

Each report includes the attendee, order, or group number, name, attendee type, and order date. You can also filter custom reports by waiver status.

Send reminders

Waiver Eblast

Go to Manage → Emails and choose Waiver Eblast. Brushfire sends one email per email address, with a button for every waiver still outstanding for that person. If one parent bought tickets for three kids, they get one email, not three.

Event Eblast

In the regular event Eblast, you can filter recipients by waiver status and add the View Waivers (Link) item. Each recipient gets their own personal link.

Tip: Send a Waiver Eblast a few days before your event and again the day before. Fewer missing waivers means a faster line at the door.

Waivers at Check-In

The Brushfire mobile app checks for missing waivers when you scan tickets, and a new Waiver Mode lets attendees sign waivers at a kiosk without checking in.

When is an attendee blocked?

An attendee is blocked at check-in when both of these are true:

  • They're missing a required waiver, or their waiver has expired.
  • The session doesn't allow missing signatures. (This is the same setting you already use for signatures.)

Optional waivers never block check-in. An attendee's status includes waivers on their order or group, too.

Manned check-in

The scanner shows the block like any other check-in issue: "Required waivers missing." Your volunteer can show the attendee a QR code that opens their waivers on their own phone, or send them to your support desk.

Self-service kiosk

When an attendee with a missing required waiver scans in, the kiosk plays an alert and shows a Stop screen listing the waivers they still need. They can:

  • Sign on the kiosk – tap Sign, review the prefilled form, and sign with a finger.
  • Sign on their phone – scan the QR code on the screen to open their waivers.

Once the last required waiver is signed, the kiosk checks them in automatically.

Waiver Mode

Waiver Mode is a third kiosk option, next to Find Tickets and Check-In. Attendees scan their ticket and sign or review their waivers without checking in. Set one up at a side table so waiver questions don't slow down your entry line.

Set up Waiver Mode

  1. In the Brushfire app, choose Waiver Mode when setting up the device.
  2. Choose the front or rear camera for scanning.
  3. Select your event.
  4. Set a passcode and tap Continue.

When a group QR code is scanned, the kiosk shows every group member and their waivers, so the whole group can sign in one stop. In self-service, the list closes after a period of inactivity, and the passcode is needed to leave Waiver Mode.

Note: Each Waiver Mode device works with one event. If you're running more than one event at once, set up a device for each.

At the support desk

If an attendee says they've already signed, look them up on Manage Attendees, open Manage Waivers, and attach their previously signed waiver. Then have them scan again.

Who can use these features?

Users with Scanner access can use waiver features in the mobile app. No higher permission level is needed.

Tip: Send a Waiver Eblast before your event. Every waiver signed at home is one less person waiting at the kiosk.
